Permission Overview

Organizations use role-based permissions to control what members can do. Each role has different levels of access.

Roles

Owner

Organization owners have full access:
  • Organization Settings: Full control
  • Member Management: Add/remove members, change roles
  • Data Access: View all organization data
  • Data Editing: Can edit any data (with restrictions)
  • Organization Deletion: Can delete organization

Admin

Organization admins have elevated access:
  • Data Access: View all organization data
  • Data Editing: Limited editing of others’ data
  • Member Management: Can add/remove members (limited)
  • Settings: Can manage most settings
  • Cannot: Delete organization or change owner

Member

Organization members have standard access:
  • Own Data: Full control over own data
  • Organization Data: View access (if enabled)
  • Data Creation: Can create own campaigns/leads/deals
  • Limited Settings: Limited access to settings
  • Cannot: Manage members or organization settings

Data Access

View Permissions

My Data (All Roles):
  • Always accessible
  • Full view and edit
  • Default view for members
Organization Data:
  • Owner/Admin: Can view all
  • Member: View only if enabled
  • Filter by creator available

Edit Permissions

Own Data (All Roles):
  • Full edit permissions
  • Can delete own data
  • No restrictions
Others’ Data:
  • Owner/Admin: Can edit (with some restrictions)
  • Member: Can edit leads and deals in organization, but campaigns depend on status
  • Depends on item type and status (e.g., campaigns)

Feature Permissions

Campaigns

Create:
  • All roles can create campaigns
View:
  • Own campaigns: All roles
  • Organization campaigns: Owner/Admin, Members (if enabled)
Edit:
  • Own campaigns: All roles (if status allows)
  • Others’ campaigns: Owner/Admin only (if status allows)
Delete:
  • Own campaigns: All roles
  • Others’ campaigns: Owner/Admin only

Leads

Create:
  • All roles can create leads
View:
  • Own leads: All roles
  • Organization leads: Owner/Admin, Members (if enabled)
Edit:
  • Own leads: All roles
  • Organization leads: Any organization member can edit any lead in the organization
Delete:
  • Own leads: All roles
  • Organization leads: Only creator or Owner/Admin can delete

Deals

Create:
  • All roles can create deals
View:
  • Own deals: All roles
  • Organization deals: Owner/Admin, Members (if enabled)
Edit:
  • Own deals: All roles
  • Others’ deals: Owner/Admin only
Delete:
  • Own deals: All roles
  • Others’ deals: Owner/Admin only

Segments

Create:
  • All roles can create segments
View:
  • Own segments: All roles
  • Organization segments: Owner/Admin, Members (if enabled)
Edit:
  • Own segments: All roles
  • Others’ segments: Owner/Admin only
Delete:
  • Own segments: All roles
  • Others’ segments: Owner/Admin only

Settings Permissions

Organization Settings

Owner:
  • Full access
  • Can change organization name
  • Can delete organization
Admin:
  • Most settings access
  • Cannot delete organization
  • Cannot change owner
Member:
  • Limited access
  • Cannot manage organization
  • Personal settings only

Feature Settings

Custom Fields:
  • Owner/Admin: Can create/edit/delete
  • Member: Can use, cannot modify
Pipeline Stages:
  • Owner/Admin: Can customize
  • Member: Can use, cannot modify
Deal Fields:
  • Owner/Admin: Can customize
  • Member: Can use, cannot modify

Best Practices

  1. Assign Roles Appropriately: Give roles based on responsibilities
  2. Limit Admins: Only make trusted users admins
  3. Regular Review: Review member roles regularly
  4. Document Permissions: Make permissions clear to team
  5. Use View Modes: Switch between personal and organization views
